Create a New Placement Agreement

Process Overview

Placement Administrators and Placement Officers are able to create and update Placement Agreements, and Placement Administrators are able to correct Placement Agreement records (when required).

Warning:  Prior to creating a new Placement Agreement, you must first perform a thorough search of the existing Placement Agreements to ensure the required Agreement does not already exist in Medici.  Only create a new Placement Agreement if you fail to find an existing Agreement.  This includes when creating a Placement Agreement for a Site; you should first search the Placement Agreements in place for the Site’s Organisation, as the Site may already be covered by a suitable Placement Arrangement at Organisation level.

Placement Agreement is the collective term for Affiliation Agreements, Memorandum of Understanding (MoU), and other such instruments used to establish the Insurance arrangements for students on Placement.  The existence of these documents must be recorded in Medici to ensure students are adequately covered whilst on Placement.

Warning:  Only attach Organisations where all of the Organisation’s Sites are covered by the Agreement.  If one or more of the Organisation’s Sites are not covered by the Agreement, the individual Site(s) covered by the Agreement must be selected.

Step by Step Instructions

Note:    The following instructions assume information has not previously been configured for the Placement Agreement.  If the Agreement has previously been configured, and the existing information needs to be updated or corrected, please refer to the process instructions on the ‘Updating a Placement Agreement’ or ‘Correcting a Placement Agreement’ process pages.

Step 1:            Create the Placement Agreement record in Medici

Question 1:     Does the Agreement cover all Sites linked to an Organisation?

Step 2:            Attach the Organisation(s) where all Sites are covered by the Agreement

Question 2:     Does the Agreement also cover specific Sites linked to another Organisation?

Step 3:            Attach the individual Site(s) covered by the Placement Agreement

Step 4:            Save the new Placement Agreement record

Step 1:    Create the Placement Agreement record in Medici

Placement Agreement Details

A Effective Date:         Type or select the [date the new Placement Agreement is to be available].

        Status:                    Select Active (if this value is not already displayed).

        Description:             Type a [description of the new Placement Agreement] (refer to the SPS Data Entry Standards for the required format/naming convention).

        Agreement Type:      Select the appropriate value as follows:

                                        -   Affiliation Agreement (if students will be covered by an Affiliation Agreement).

                                        -   Memorandum of Understanding (if students will be covered by a MoU).

Agreement Dates

B Approval Date:        Type or select the [date the Placement Agreement was/will be approved].

       Commencing Date:   Type or select the [date the Placement Agreement commences].

       Expiration Date:       Type or select the [date the Placement Agreement expires] (if applicable).

UniSA Custodian

C Acad Org:               Select the [Academic Organisation Code for the UniSA Custodian].

       Position:                 Type the [position title of the UniSA Custodian].

 

Question 1: Does the Agreement cover all Sites linked to an Organisation?

Explanation:

If the Placement Agreement covers all Sites linked to an Organisation, the Organisation must be attached to the Agreement.  This ensures all Sites linked to the selected Organisation are covered by the Agreement (step 2).

If the Placement Agreement does not cover all Sites linked to an Organisation, the individual Site(s) covered by the Agreement must be attached, and only the selected Site(s) will be covered by the Agreement (step 3).

 

Step 2:    Attach the Organisation(s) where all Sites are covered by the Placement Agreement

C Populate the new row in the Organisations Covered by Agreement section as follows:

             Organisation ID:       Select the [Organisation where all of the Organisation’s Sites are covered by the Agreement].

Continue to repeat parts B and C of this step until all Organisations where all Sites are covered by the Agreement have been recorded.

 

Question 2:  Does the Agreement also cover specific Sites linked to another Organisation?

Explanation:

If the Placement Agreement also covers specific sites linked to a different Organisation(s), these individual Sites must be attached to the Agreement before the record is saved (step 3).

If the Placement Agreement does not also covers specific sites linked to a different Organisation(s), the Agreement record can be saved (step 4).

 

Step 3:    Attach the individual Site(s) covered by the Placement Agreement

Application:   Medici

Navigation:    The Placement Agreements page will already be displayed as a result of performing step 1 or 2

A Site ID:                      Select the [Site covered by the Agreement].

If further Sites are covered by the Agreement:

B In the Sites Covered by Agreement section, select the the Add a New Row button (+).

C Populate the new row in the Sites Covered by Agreement section as follows:

        Site ID:                   Select the [Site covered by the Agreement].

Continue to repeat parts B and C of this step until all Sites covered by the Agreement have been recorded.

 

Step 4:    Save the new Placement Agreement record

Application:   Medici

Navigation:    The Placement Agreements page will already be displayed as a result of performing step 2 or 3

Result:  The new Placement Agreement is created in Medici and will be available from the entered Effective Date.  The Agreement ID for the new Placement Agreement is displayed at the top of the Medici page.

Update a Placement Agreement

Process Overview

Placement Administrators and Placement Officers have access to update Placement Agreements as required.

If the Placement Agreement needs to be updated due to a recent or future change, insert a new effective dated row to update the Agreement record as at the date of the change.  If the Agreement needs to be corrected rather than updated (ie. incorrect information has been entered for the Agreement), the record should be corrected by a Placement Administrator using ‘Correction’ mode (refer to the ‘Correcting a Placement Agreement’ process page).

Warning:  Only attach Organisations where all of the Organisation’s Sites are covered by the Agreement.  If one or more of the Organisation’s Sites are not covered by the Agreement, the individual Sites that are covered by the Agreement must be selected.

Step by Step Instructions

Step 1:            Locate the Placement Agreement record and insert a new effective dated row

Question 1:     Does the Status of the Agreement need to be updated to ‘Inactive’?

Step 2:            Update the Status of the Agreement to ‘Inactive’, and then save the update to the Agreement’s Status

Question 2:     Do the Agreement Type, Agreement Description, UniSA Custodian, or Agreement Dates need to be updated?

Step 3:            Update the Agreement details as required

If the Placement Agreement does not need to be made ‘Inactive’, the process continues by determining if the Agreement Type, Description, UniSA Custodian or Agreement Dates details need to be added or updated (question 2).

 

Step 2:    Update the Status of the Placement Agreement to ‘Inactive’, and save the updated record

Result:  A message is displayed requesting confirmation the selected row is to be deleted, and advises the deletion will occur when the transaction is saved.

Result:  The selected Organisation is deleted from the Agreement.

Continue to repeat this step until all Organisations that are no longer required have been deleted from the Placement Agreement.

Result:  The updated information will apply to the Placement Agreement as of the entered effective date.

Correct a Placement Agreement

Process Overview

Only Placement Administrators have access to correct a Placement Agreement.  If you are not a Placement Administrator, send an email request to your Placement Administrator.

Placement Agreements should only be corrected if incorrect information has been entered or selected for the Agreement.  If the Agreement record needs to be updated due to a recent or future change, insert a new effective dated row to update the Agreement as at the date of the change (refer to the ‘Updating a Placement Agreement’ process page).

Warning:  Only attach Organisations where all of the Organisation’s Sites are covered by the Agreement.  If one or more of the Organisation’s Sites are not covered by the Agreement, the individual Sites that are covered by the Agreement must be selected.

Details

Requests to correct an existing Placement Agreement will be received via email from Placement Officers (assuming it is a Placement Officer and not a Placement Administrator that identifies the need to correct the Agreement details).

The following information is required:

-  Placement Agreement to be corrected

-  Details of the required correction (field name(s) and content to be corrected)

 

Step 2:    Locate the Agreement record in ‘Correction’ mode

Warning:  The Effective Date field should only be updated in ‘Correction’ mode if the effective date currently entered for the Agreement is incorrect.  ‘Correction’ mode is generally used to correct information within the other fields on the page ‘as at’ the existing effective date.

Placement Agreement Details

A Effective Date:               If required, type or select the [correct date for the Agreement].

 

Question 1:  Do the Agreement Type, Description, Custodian, or Dates need to be updated?

Step 9:  Send notification that the Placement Agreement has been corrected

Advise the Placement Officer that the Placement Agreement details have been corrected in Medici (if applicable).
