Create a Placement Initiative

Process Overview

Placement Administrators and Placement Officers are able to create and update Placement Initiative records, and Placement Administrators are able to correct Placement Initiative records (when required).

Warning:  Prior to creating a new Placement Initiative record, you must first perform a thorough search of the existing Initiative records to ensure the required Initiative does not already exist in Medici.  Only create a new Placement Initiative record if you fail to find an existing Placement Initiative.

A Placement Initiative is a project or other form of collaborative placement activity involving more than one student.  The Placement Initiative identifier can be used to link multiple students associated with the collaborative activity for reporting purposes.

A Placement Initiative may span one or many Placement Blocks, and one or many Programs and/or Courses.

A Placement Initiative is unique to an Organisation.

Step by Step Instructions

Note:    The following instructions assume information has not previously been configured for the Placement Initiative.  If the Initiative has previously been configured, and the existing information needs to be updated or corrected, please refer to the process instructions on the ‘Updating a Placement Initiative’ or ‘Correcting a Placement Initiative’ process pages.

Step 1:            Create the Placement Initiative record in Student Placements in Medici

Warning:  Prior to creating a new Placement Initiative record, you must first perform a thorough search of the existing Initiative records to ensure the required Initiative does not already exist in Medici.  Only create a new Placement Initiative record if you fail to find an existing Placement Initiative.

A Select the Add a New Value tab.

Result:  The Placement Initiatives: Add a New Value page is displayed.

A Select the Add button (or press Enter).

Result:  The Placement Initiatives page is displayed.

Placement Initiative

A Effective Date:          Type or select the [date the new Placement Initiative is to be available].

        Status:                     Select Active (if this value is not already displayed).

        Initiative Name:        Type the [name of the new Placement Initiative].

        Organisation:            Select the [Organisation the Placement Initiative relates to].

UniSA Custodian

B  Acad Org:                 Select the [Academic Organisation Code for the UniSA Custodian].

        Position:                   Type the [position title of the UniSA Custodian].

 

C Initiative Summary:  Type [any comments relevant to the Placement Initiative] (if applicable).

D Select the Save button.

Result:  The new Placement Initiative is created and will be available as of the entered effective date.  The Initiative ID for the new Placement Initiative is displayed at the top of the Medici page.

Update a Placement Initiative

Process Overview

Placement Administrators and Placement Officers have access to update Placement Initiative records as required.

If the Placement Initiative record needs to be updated due to a recent or future change, insert a new effective dated row to update the Placement Initiative as at the date of the change.  If the Placement Initiative needs to be corrected rather than updated (ie. incorrect information has been entered for the Initiative), the record should be corrected by a Placement Administrator using ‘Correction’ mode (refer to the ‘Correcting a Placement Initiative’ process page).

          Placement Initiative:               Type the [Placement Initiative ID].

          Organisation ID:                   Type or select the relevant [Organisation ID].

          UniSA Custodian:                        Type the [UniSA Custodian for the Placement Initiative].

          Description:                             Type the [Initiative description].

B Select the Search button (or press Enter).

Result:  The Placement Initiatives page is displayed.

B Effective Date:         Type or select the [date from which the updates will apply to the Placement Initiative].

C Initiative Name:       Type the [updated name of the new Placement Initiative] (if applicable).

      Organisation:          Select the [updated Organisation the Placement Initiative relates to] (if applicable).

UniSA Custodian

D Acad Org:               Select the [updated Academic Organisation Code of the Custodian] (if applicable).

      Position:                 Type the [updated position title of the UniSA Custodian] (if applicable).

 

EInitiative Summary: Type the [updated comments relevant to the Placement Initiative] (if applicable).

FSelect the Save button.

Result:  The updated information will apply to the Placement Initiative as of the entered effective date.

Correct a Placement Initiative

Process Overview

Only Placement Administrators have access to correct a Placement Initiative record. If you are not a Placement Administrator, send an email request to your Placement Administrator.

A Placement Initiative record should only be corrected if incorrect information has been entered for the Placement Initiative. If the Initiative needs to be updated due to a recent or future change, insert a new effective dated row to update the Initiative record as at the date of the change (refer to the ‘Updating a Placement Initiative’ process page).

Step by Step Instructions

Step 1: Receive request to correct an existing Placement Initiative (if applicable)

Step 2: Correct the Placement Initiative record in Student Placements in Medici

Step 3: Send notification that the Placement Initiative has been corrected (if applicable)

Details

Requests to correct an existing Placement Initiative’s details will be received via email from Placement Officers (assuming it is a Placement Officer and not a Placement Administrator that identifies the need to correct the Placement Initiative).

The following information is required:

- Placement Initiative to be corrected

- Details of the required correction (name of field(s) and content to be updated)

Step 2: Correct the Placement Initiative record in Student Placements in Medici

Application: Medici

Navigation: Student Placements®Placement Providers®Placement Initiatives

UniSA Custodian: Type the [UniSA Custodian for the Placement Initiative].

B Correct History: Select the Correct History checkbox so that a tick is displayed.

C Select the Search button (or press Enter).

Result: The Placement Initiatives page is displayed in ‘Correction’ mode.

Warning: The Effective Date field should only be updated in ‘Correction’ mode if the effective date currently entered for the Placement Initiative record is incorrect. ‘Correction’ mode is generally used to correct information within the other fields on the page ‘as at’ the existing effective date.

Placement Initiative

A Effective Date: If required, type or select the [correct date for the Placement Initiative].

B Initiative Name: Type the [correct name of the new Placement Initiative] (if applicable).

Organisation: Select the [correct Organisation the Placement Initiative relates to]
(if applicable).

UniSA Custodian

C Acad Org: Select the [correct Academic Organisation Code of the Custodian]
(if applicable).

Position: Type the [correct position title of the UniSA Custodian] (if applicable).


DInitiative Summary: Type the [correct comments for the Placement Initiative] (if applicable).

E Select the Save button.

Result: The corrected information will apply to the Placement Initiative as of the entered effective date.

Step 3: Send notification that the Placement Initiative has been corrected (if applicable)

Action

Details

Advise the Placement Officer that the Placement Initiative record has been corrected in Medici (if applicable).

Send a ‘Reply to All’ response to the email request received in step 1 of this process, and advise that the Placement Initiative record has been corrected using the details supplied in the request.
