Q 1 - Are myCourseExperience evaluations created for all courses and teachers?

A - Yes, evaluations are created for all offerings in all courses in all study periods. All teaching staff associated with the course offering will be evaluated.


Q 2 - When are evaluations created?

A - Evaluations are created at the beginning of each study period.


Q 3 - When do evaluations for short courses open?

A - Evaluations for all short courses open in December. Course Coordinators can change the open and close dates and add questions at any time during the year.


Q 4 - What emails will student receive?

A - Students will receive an initial email inviting them to complete the evaluation on the day the evaluation opens. They will receive two further reminder emails, unless they have completed all available surveys.


Q 5 - Why can’t students see my teacher evaluation?

A - Please ask your school’s timetabler to check that you are correctly assigned in Medici to the classes you teach.  MyCourseExperience matches instructors to classes so that students only see the instructors associated with the classes in which they are enrolled.


Q 6 - Why don’t students see an evaluation for all the classes I teach e.g. the lecture and tutorial?

A - Evaluations are created at course offering level so students will only complete one evaluation for each teacher associated with the offering in which they are enrolled e.g. Internal, City West. Students will submit their response based on the overall experience of their teacher.


Q 7 - Do students see evaluations for all teachers associated with the course delivery?

A - No, students only see evaluations for instructors associated (in Medici) with the classes in which they are enrolled. It is therefore important to ensure that your school timetable associates you correctly in Medici with the classes you are teaching.


Q 8 - I need access to result entry  but don’t need an evaluation as I’m not teaching. Should I be associated with classes in Medici as an Instructor?

A - No; you should only be associated with classes as an instructor if you are teaching. If you only need result entry access you should be associated as an Administrator which will stop the inappropriate creation of a teacher evaluations.


Q 9 - I am a Head of School. How do I access myCourseExperience responses?

A - Head of Schools can access responses via the BI Hub


Q 10 - Who can add optional course questions?

A - Course Coordinators and School Administrators.


Q 11 - Who can add optional teacher questions?

A - Course Coordinators and School Administrators.


Q 12 - Can I administer myCourseExperience manually?

A - No. Manual evaluations are not longer possible. This is a University decision.


Q 13 - What happens if I don't add optional questions?

A - Nothing. The evaluation will automatically publish with the core questions on the nominated publication date


Q 14 - Who can add staff photos?

A - Course Coordinators on behalf of their teaching team. Teachers can add their own photos only.


Q 15 - What happens if I don't add my photo?

A - Teachers can choose whether to add their photo however the University recommends that you add your photo to help students correctly identify the staff they are evaluating.


Q 16 - Who can change the open and close dates of an evaluation?

A - Course Coordinators and School Administrators.


Q 17 - Who can view student responses to course questions?

A - The Course Coordinator, teachers and School Administrators.


Q 18 - Who can view student responses to teacher questions?

A - The Course Coordinator and teacher whom students are responding about.


Q 19 - Are responses viewed in real time?

A - Yes.


Q 20 - How many optional questions can I add?

A - Two course and two teacher.


Q 21 - Can I add my own questions?

A - No. University TALC has determined that only the validated core and optional questions can be used.


Q 22 - When I’m viewing evaluation responses; why is the “Number of students” displayed i.e. potential respondents, different to the number my colleague sees who is teaching the same course?

A - Each instructor will only see the number of students enrolled in the classes they teach and not the overall number of students enrolled in the course. It is therefore important that your school timetabler associates you correctly with the classes you teach.


Q 23 - What scale is used for student responses?

A - A Likert scale of Strongly Disagree (on the left of the screen) ranging through Disagree, Neutral, Agree to Strongly Agree (on the right of the screen).


Q 24 - How is the Mean Value calculated on the View Responses page?

A - The scale is a weighted mean, with possible values between 100 (strongly agree) and -100 (strongly disagree).
It is calculated using the forumula: ((#strongly agree * 100) + (#agree * 50) + (#neutral * 0) + (#disagree * -50) + (#strongly disagree * -100)) / total # of responses.
It is  then rounded to 2 decimal places.
