What are Special Circumstances?
Students may present with certain allowable Special Circumstances that require consideration when making a placement choice (eg. Disability Access Requirements).
Where applicable, Special Circumstance values are configured within Placement Blocks, allowing students to select a specific Special Circumstance value(s) for consideration.
How do I create a new Special Circumstance / update an existing Special Circumstance?
Special Circumstance values are created and updated by Placement Administrators:
Student Placements > Placement Setup > Special Circumstance Values
Placement Officers should send an email request to their Placement Administrator to request a Special Circumstance value be created, updated or corrected.
Placement Administrators should refer to the following process instructions:
-
Create a Special Circumstance Value if the Special Circumstance does not exist in Medici
-
Update a Special Circumstance Value if the Special Circumstance already exists in Medici
-
Correct a Special Circumstance Value if the Special Circumstance value data is invalid and was never valid
-
Update the Status of a Special Circumstance Value to ‘Inactive’ if the Special Circumstance value is/will be no longer required
How do I configure Special Circumstances for placements?
Special Circumstances are configured for placements in the Placement Block by Placement Administrators and Placement Officers:
Student Placements > Placement Administration > Placement Block
Refer to the following process instructions:
How do students submit Special Circumstances for consideration?
If a Placement Block is configured to allow Special Circumstances to be submitted, the list of available Special Circumstances will be displayed to students in myPlacement from the Submit Preference Open Date entered in the Placement Block.
Students will then submit their Special Circumstances (if applicable) via myPlacement, and the student submissions in myPlacement will be automatically loaded into Medici.
Students will no longer be able to submit Special Circumstances via myPlacement once the Placement Block Submit Preference Close Date has elapsed.
Can I enter a student’s Special Circumstances directly into Medici?
Yes. If a student is unable to submit their Special Circumstances via myPlacement (eg. ‘Non-E’ students), the student’s Special Circumstances can be entered directly into the Student Block by Placement Administrators and Placement Officers:
Student Placements > Placement Administration > Student Block
Refer to the following process instructions:
Where can I view the Special Circumstances submitted by a student?
Special Circumstances submitted by a student are displayed to Placement Administrators and Placement Officers in the Student Block page:
Student Placements > Placement Administration > Student Block
A summary of the Special Circumstances (and other Preferences) submitted by the student is displayed in the Student Block: Preferences Summary page.
Refer to the following process instructions:
Special Circumstances can be entered directly into Medici via a student’s Student Block: Special Circumstances page.
